Privacy Policy

Last updated: 29 October 2026

This Privacy Policy explains how FormHaus ("we", "us", or "our") collects, uses, stores, and protects personal information in accordance with UK data protection law (the UK GDPR and the Data Protection Act 2018).

Who we are

FormHaus is run by Fitclub Gym Group Ltd (company number 16029393), 50 Albert St, Tring HP23 6AU. We are responsible for your personal information. You can contact us at yoga@fitclubgymgroup.com or on 07717 740202.

1. Information We Collect

We may collect personal information including but not limited to:

  • Full name
  • Email address
  • Phone number
  • Billing and payment details
  • Health or fitness information voluntarily provided
  • Booking history and attendance records
  • Anything you tell us when you use the contact form on our website

2. How We Use Your Information

Your information is used to:

  • Provide and manage fitness services
  • Process payments and manage memberships
  • Communicate regarding classes, changes, or promotions
  • Improve our services and customer experience
  • Reply to messages sent through our website

We'll only send you promotions if you've agreed to them or you're a member and haven't opted out. Every marketing email has a way to unsubscribe.

We process personal data under the lawful bases of contract performance, legitimate interest, and legal obligation.

Health information is treated with extra care. We only use it to keep you safe in class, and only with your explicit consent, which you can withdraw at any time.

4. Data Storage & Security

We store personal data securely using trusted software providers. Access is limited to authorised staff only.

5. Data Sharing

We may share your data with payment processors, booking software providers, or legal authorities where required. The companies we use are:

  • ClubRight, our booking and membership system. When you book or join, you do so through ClubRight.
  • Stripe, which takes membership and class payments through ClubRight.
  • Netlify, which hosts our website and receives messages sent through its contact form.

Some of these companies store data outside the UK, including in the United States. Where they do, they use the safeguards UK law requires, such as the UK-US data bridge or standard contractual clauses.

Cookies and our website

Cookies are small files a website stores on your device. Our website doesn't use analytics or advertising cookies. If we add them, we'll ask for your agreement first and update this policy. Our timetable and booking come from ClubRight, which may set its own cookies; ClubRight's privacy policy explains them.

6. Data Retention

We keep former members' records for one year after their membership ends, and messages sent through our website for one year after we last hear from you. Payment records may be kept longer where tax law requires it, which is up to six years.

7. Your Rights

You have the right to access, correct, restrict, or request deletion of your data. You may also object to processing or withdraw your consent at any time. To do any of these, contact us using the details above.

If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We'd appreciate the chance to put it right first.
